Automate payment reminders and debt collection

Overview

Description

Automate the processing of outstanding payments, from the first friendly reminder right through to the final stage of the dunning process, and save yourself the hassle of manually monitoring unpaid orders. With ‘Automate Payment Reminders & Dunning’ , you can set individual deadlines for selected payment methods, send reminders and dunning notices automatically, and generate PDF documents tailored to each dunning stage directly within Shopware.

Payment reminders or a full dunning process

You decide which process should apply for each payment method. For prepayment, for example, you can set up a simple reminder process, whilst purchases on account go through a full dunning process. Orders with other payment methods remain unaffected. For each stage, you can specify individually after how many days it is triggered.

Your benefits

  • Send payment reminders and dunning notices automatically
  • Configure the reminder and dunning processes separately by payment method
  • Use up to three consecutive reminder or dunning stages
  • Set individual deadlines for each stage
  • Automatically cycle through your own payment statuses
  • Generate sequentially numbered reminder letters as PDFs
  • Define reminder fees individually for each stage
  • Optionally add fees as a separate line item to the order
  • Exclude minimum order values and specific order statuses
  • Optionally start the reminder process only after the order has been dispatched
  • Automatically cancel the order at the end of the process or proceed to the debt collection stage
  • Configure settings for each sales channel

Automatically keep track of deadlines

Once the process has started, the plugin automatically schedules the next steps. If the order remains unpaid after the relevant deadline has passed, the next payment status is set, the corresponding email is triggered via the Shopware Flow Builder, and the next stage is prepared. As soon as payment is received, the dunning process is halted.

Documented dunning process directly in Shopware

Separate document types with number ranges are available for each reminder stage. The PDF reminder letters generated are attached to the order. You can customise email and document templates to suit your own communication style, thereby creating a consistent workflow for your debt management.

Note: Please check in particular the amount, validity and wording of reminder fees, as well as your reminder texts, to ensure they comply with your legal and business requirements.

Configuration guide

Installation

Upload the extension in the Shopware admin area under Extensions, My Extensions , or install it from the Store. Then activate it using the button in the list of installed extensions.

Configuration

Open the extension’s configuration via the three-dot menu and, if necessary, select the desired sales channel. The settings are divided into three sections.

General

This is where you activate the entire process. The setting applies to new orders. Orders already in progress will continue to be processed.

Payment reminders

Select the payment methods for which a reminder-only process should apply. Set the time limits in days for the first, second and third reminders, as well as for cancellation. Optionally, you can specify a minimum order value and an order status to be excluded, and determine whether the order is ultimately cancelled.

Payment reminders and dunning

Select the payment methods for the full dunning process. Set the timeframes for the three dunning stages and the debt collection status, and specify the dunning fees for each stage. Using a toggle switch, you can decide whether the fees should only appear on the document or be added as actual order items. Additionally, you can set the process to start only after dispatch, specify a minimum order value and an order status to be excluded, and activate automatic cancellation at the end.

Testing via the console

A console command is available for testing, which allows you to manually run through the process for a single order step by step. This is intended for development and acceptance testing; in normal operation, everything runs automatically.

Note

The sending of emails and the updating of statuses are handled via the background queue. Ensure that background processing is enabled in your shop.
